Visit Compliance

Keep track of visits that may have been missed, or entered incorrectly.

Rivia's Visit Compliance feature is built to provide ClinOps professionals with a deep dive into patient visits. There are three modules available to interact with this data: the Overview, Patients, and Pending Data Entry modules.

In a nutshell, these modules offer:

  • Overview: High level metrics on visits performed, missed, and pending data entry.

  • Patients: A patient-by-patient view to easily review visit statuses in chronological order.

  • Pending Data Entry: A specific "Pending Data Entry" view to quickly identify all visits awaiting an EDC record.

The pages are updated regularly with data from your EDC system to ensure you're able to review this data in real time. All can be selected on the far lefthand side of the Rivia platform, under the "ClinOps" tab β†’ "Visit Compliance".

Export Functionality

All modules can be exported to Excel using either the download icon or selecting the three vertical dot menu icon. Both icons are located on the upper righthand side of any page.

Switch Between Studies

Toggle between studies by using the dropdown option on the upper righthand side of any module.

Custom Configurations

Each study has a slightly different visit schedule as defined in its protocol. Should your visit schedule differ from the norm, you may see an information panel with information on your study's specific configurations. This panel will pop up when you hover over the Visit Compliance section on the lefthand side panel in Rivia.

Delays in release of the Visit Compliance module for your study may also be related to the extent of these custom configurations.

Overview

This module offers summary metrics, both in absolute numbers and by percentage, on the following statuses. These statuses are based on the following example timeline:

Filters and Settings

The entire Overview page can be grouped by different criteria. By default, the data displays as both a percentage and as a total number, but you can toggle between which one is displayed more prominently using the toggle below.

Each visit column can also be sorted in ascending or descending order, by hovering over the top of the column header. You can also adjust the width of each column by dragging the edge of the header cell to the left or right.

Visit Status Definitions

Visit Performed

  • In window: Visit completed, and happened within the appropriate date window.

  • Out of window: Visit completed, but happened outside of the appropriate date window.

Visits Pending Data Entry

By default the data entry window is set to 14 days. This can be configured to your study specific window.

  • In window: Today's date is within the visit date window, but the EDC does not yet have a record of this visit being completed.

  • In reporting window: Today's date is outside the window in which the visit should have been completed, but per the protocol there is still time to record this visit has having been completed.

  • Out of reporting window: Today's date is outside the window in which the visit should have been completed, and per the protocol this visit should have been recorded as completed already in the EDC.

Missed Visits

  • Not performed: Visits that were marked in the EDC as not performed.

  • No information: The visit should have happened per the protocol, but there was no record of this visit whatsoever in the EDC.

Patients

This module offers a patient-by-patient view to easily review visit statuses in chronological order from left to right. You can navigate the page by scrolling up and down, and left and right to view the full visit schedule for each patient.

Filters and Settings

The entire Patients page can be filtered by different criteria by clicking into the "Filter" button at the top of the page.

Columns can be sorted by ascending or descending order, hidden, or pinned to your view by selecting the three dot menu at the top of any column header.

Unscheduled Visits

Unscheduled visits are those which are not defined in the protocol schedule, but the EDC contains a record of a visit happening anyway.

You can choose whether to hide or display unscheduled visits in the chronological view of each patient's visits using the toggle on the upper righthand side.

These visits will display as a diamond icon should you choose to show them.

Pending Data Entry

This module offers a view to quickly identify all visits awaiting an EDC record.

Filters and Settings

The entire Pending Data Entry page can be filtered by different criteria by clicking into the "Filter" button at the top of the page.

Columns can be sorted by ascending or descending order, hidden, or pinned to your view by selecting the three dot menu at the top of any column header.

You can also choose to show or hide columns by selecting the three bar icon on the upper righthand side.
